Airtable integration: write and read records from your workflows

Connect your Airtable bases to OrqLabs with a personal access token. Workflows write records, read filtered rows, sync leads into your CRM table and start when a new record lands in a table.

What it does in OrqLabs

OrqLabs connects to Airtable through the official Web API with a personal access token you create. The token only reaches the bases you grant it, and the connection is organization-wide, so every project can use the same bases.

The Airtable node offers five operations: list records (with an Airtable formula, a view and up to 1,000 records), create a record, update a record, create-or-update by up to three match fields (upsert) and list bases. You enter fields as key → value pairs; expressions such as {{ $json.email }} write data from earlier steps, and Airtable converts text to numbers, dates and new select options for you.

For sales, the Sync to CRM node pushes leads into an Airtable table: lead details are matched to the table's column names, and in tables with an email field the same person is never added twice. The Integration event trigger starts a workflow whenever a new record is added to the table you choose.

What you can automate

  • A lead table

Leads scored by the Lead Qualifier land in your Airtable table through Sync to CRM; a record with the same email is updated instead of duplicated.

  • Store form responses

Every submission from a web form or webhook becomes a row with the Airtable node's Create record operation; you map the fields with expressions.

  • Content from a table

When your team adds a content idea to Airtable, the new-record trigger fires, the Content Creator writes a draft and sends it for approval.

  • Filtered batch work

List records with a formula like {Status} = 'New', generate an email or report for each one, then mark it done with Update record.

Nodes that use this integration

In the workflow editor these nodes run with your Airtable account.

  • Sync to CRM / Sheet

Pushes leads to HubSpot, Google Sheets, Notion or your own system, e.g. adding qualified leads to your sales team's spreadsheet.

Requirements

  • An Airtable account with at least Editor access to the base you use; the free plan is enough.
  • A personal access token with the data.records:read, data.records:write and schema.bases:read scopes.
  • For the new-record trigger, the ID of the base to watch (app…) and the table name.

What you enter when connecting

  • Personal access token *
  • Trigger base ID (optional)
  • Trigger table (optional)

Good to know

  • Airtable accepts 5 requests per second per base; during heavy batches OrqLabs waits and retries.
  • Only new records start workflows; updates to existing records are not a trigger. The table is checked every 5 minutes.
  • Each Airtable connection watches one table; add a second connection for another table.

Frequently asked questions

Will the same person be added to Airtable twice?

Not with Create or update, or with Sync to CRM into a table that has an email field: the matching record is updated, otherwise a new one is created.

Can I write multiple-select or linked-record fields?

Yes. Give those values as arrays in Fields (JSON), for example ["Hot","B2B"] or ["recXXXX"].

Can I filter with Airtable formulas?

Yes. The Filter formula field of List records takes Airtable's own formula language, e.g. AND({Status}='New', {Score}>70).

Do I need a paid Airtable plan?

No. API access is available on the free plan; only Airtable's per-plan record and API call limits apply.
