Social media automation for agencies: one project per client, every post approved

For agencies, social media automation in OrqLabs is organized around projects: every client brand is a separate project that owns its brand voice, connected social accounts, GA4 property and strategy document. Agents draft content every day, your team approves, posts go out at the best time, and the weekly report writes itself.

The challenge

  • A different voice for every brand

When one team writes for five brands in a day, tones blur, and every brief has to re-explain the brand, the audience and the words to avoid.

  • Approvals get lost in chat threads

Which post was approved, who edited the copy and what goes out when is tracked across scattered messages, and posting slots get missed.

  • Scattered accounts and access

Client accounts stay logged in on different people's browsers; it becomes unclear who connected what and what must change when someone leaves.

  • Reporting and cost allocation by hand

Writing a report for every client each month and splitting AI spend across clients becomes a second job on top of the real work.

How OrqLabs handles it

  • A project and brand voice per client

Each client project stores name, industry, audience, products, competitors and brand voice (tone, personality, phrases to avoid, example sentences), and agents read it on every run. Fill from website drafts it from the client's site. Each project also has its own strategy document: content pillars, topic weights, channel times and KPIs.

  • Accounts belong to projects

Social accounts, WhatsApp and Telegram, Google Analytics, Search Console and email senders are connected per project, and a workflow only uses its own project's accounts. Shared services such as Serper, Hunter, HubSpot, Slack and your own AI keys are connected once for the organization. Credentials are encrypted with AES-256-GCM, and only Owners and Admins can connect accounts.

  • One template, one copy per client

Use the Daily social media content pipeline template once per project; each copy runs on that brand's accounts and voice. Drafts collect on the Approvals page, where you can edit before approving or approve several cards at once. Every approval is recorded in the audit log.

  • Weekly analysis and client report

Every Monday the Analytics Strategist evaluates GA4 and social data against goals and proposes strategy changes. The Report Writer summarizes the period's content, leads and analytics either in plain language for the business owner or in detail for the marketing team. Reports can be filtered by project.

  • Per-client cost and budgets

Every workflow run and every agent step has a budget cap, and the organization's monthly AI budget limits all projects together. Settings → Usage breaks spend down by project and exports to CSV, ready for client billing.

Example flow

  1. Create a project for the new client, use Fill from website for a first draft and add 3–5 example sentences from the client's real copy to the brand voice.

  2. Connect the client's Instagram, LinkedIn and X accounts to that project.

  3. Use the Daily social media content pipeline template for this project, adjust platforms and times to the client and activate it.

  4. Each morning, edit and approve the drafts on the Approvals page; the Social Publisher schedules them for the best slots.

  5. Run the comment auto-reply template with auto-reply off for the first week, then switch it on once the tone is right.

  6. On Monday morning the Analytics Strategist reviews last week and the Report Writer prepares the weekly summary.

  7. At month end, export a per-project CSV from Settings → Usage and pass costs on to your clients.

Things to keep in mind

  • Roles apply to the whole organization

Owner, Admin, Member and Viewer roles apply organization-wide; you can't restrict a user to a single client's project. If you invite a client into the panel, they see the other projects too. If a client must approve in the panel themselves, a separate organization for that client is an option; users can belong to several organizations, but plans and limits apply per organization.

  • Plan limits

Projects: 1 on FREE, 3 on STARTER, 15 on PRO; members follow the same 1, 3 and 15. Archived projects don't count toward the limit and count again once restored.

  • Platform rules

Instagram requires a professional account and media on every post. Posting as a LinkedIn company page needs the platform's Community Management API app. Videos uploaded to TikTok stay visible only to the account owner (SELF_ONLY) until the platform's TikTok app passes TikTok's audit.

Frequently asked questions

How many client brands can I manage?

It depends on your plan: 1 project on FREE, 3 on STARTER and 15 on PRO. Higher limits come with the Enterprise plan.

Can a client see only their own brand in the panel?

Not within the same organization: roles are organization-wide and even the Viewer role sees every project. To limit a client to their own brand, create a separate organization for them.

Is each client's social account connected separately?

Yes. Social accounts, messaging channels and analytics properties belong to a project, and workflows only use their own project's accounts. Credentials are stored encrypted and are never returned by the API.

Can I see AI costs per client?

Yes. Group spend by project on Settings → Usage and export it as CSV.

Can I email the weekly report to my client?

Yes. Add a Send email node after the Report Writer to send the report text to the client's address; the project needs an email sender (SMTP or Resend) connected.
