B2B sales automation: from ideal customer profile to personalized outreach

For B2B sales automation and lead generation, the Lead Researcher finds and verifies companies that match your ideal customer profile (ICP) and the Lead Qualifier scores them 0–100 with reasons. Once you approve the shortlist, the Outreach Agent sends personalized emails and follow-ups, and qualified leads can be synced to HubSpot, Google Sheets or Notion.

  • From ICP to a verified lead list

    The Lead Researcher turns your ICP into filters such as industry, region, company size and buying signals, then searches directories, LinkedIn company pages, local listings and job boards. It verifies each candidate on its own website, skips companies already in your leads and saves a fit score with evidence. It only collects contact details published on business pages.

  • Enrichment with Hunter and Apollo

    Hunter is strong at finding and verifying emails, Apollo at person and company profiles. The Researcher uses them through its own tools, and the Enrich lead node lets you fill only the missing fields to save credits.

  • Scoring with reasons and a shortlist

    The Lead Qualifier scores leads 0–100 on ICP fit, budget capacity, evidence of need, decision-maker reachability and timing. Leads above the threshold (70 by default) are qualified, and up to 10 make a shortlist with a “why now” note; every decision is written to the lead record with its reasons.

  • Approved, personal first touch

    After you approve the shortlist, the Outreach Agent writes short emails that open with an observation specific to each lead, schedules follow-ups at +3 and +7 business days and respects the daily send limit. A reply stops that lead's follow-ups, and a reply consisting of just “STOP” or “unsubscribe” takes the lead off your contact list automatically. For LinkedIn it only prepares drafts that you send yourself.

  • CRM sync

    Sync to CRM / Sheet writes leads to HubSpot (upsert by email), Google Sheets or Notion, and a webhook lets you reach other CRMs through Zapier, Make or n8n. Sync is one-way; the most common pattern sends only qualified leads, triggered by the “lead qualified” event.

Example flow

  1. Describe your products, audience and brand voice in the project; connect Serper and an email sender (SMTP or Resend), and optionally Hunter or Apollo.

  2. Use the lead research template and fill in icp and offer under Settings → Variables.

  3. On Monday at 09:00 the Researcher finds 20 leads and the Qualifier marks those at 70 or above as qualified.

  4. You review the shortlist with scores and reasons on the Approvals page and approve it.

  5. The Outreach Agent sends personal emails and schedules follow-ups; leads who reply become “Replied”.

  6. A second workflow, started by the “lead qualified” event, writes qualified leads to HubSpot or Google Sheets.

  7. The weekly lead report lands on the Reports page, and you follow the pipeline in the Leads kanban view.

Things to keep in mind

  • Email reputation

    Set up SPF, DKIM and DMARC for your sending domain. Start a new domain at 20–30 emails a day and ramp up gradually; a separate subdomain protects your main domain.

  • Reply tracking setup

    To match email replies to leads automatically, the sending mailbox's incoming messages must be forwarded to OrqLabs. Without forwarding, replies still reach your inbox, but the lead isn't marked “Replied” and scheduled follow-ups keep going.

  • Compliance

    In Turkey, commercial messages to merchants don't need prior consent but require an opt-out and sender details; GDPR applies to recipients in the EU. First contact on WhatsApp always requires an approved template and the recipient's explicit opt-in.

Frequently asked questions

Can it send LinkedIn messages automatically?

No. For LinkedIn the Outreach Agent only produces drafts (connection notes up to 300 characters, InMails up to 600); you send them yourself.

Where does the lead data come from?

From web search (Serper or Tavily) and public business sources such as company websites, LinkedIn company pages and directories; Hunter and Apollo supply emails and company data when connected. Personal phone numbers from private profiles are never collected.

Which CRMs does it work with?

It writes directly to HubSpot, Google Sheets and Notion; for Salesforce, Pipedrive or Zoho, use a signed webhook through Zapier, Make or n8n. Sync is one-way, from OrqLabs to the external system.

Do leads who reply keep getting follow-ups?

No. Once a reply is captured, the lead becomes “Replied” and scheduled follow-ups are skipped; for email this requires reply tracking to be set up.

Can I review every message before it's sent?

Yes. Turn on Approve before sending on the Outreach Agent and it only produces drafts; starting this way for the first few weeks is recommended.
