Zoho CRM integration: sync leads into Leads and add notes

What it does in OrqLabs

The Sync to CRM node uses Zoho's upsert: a record matching the lead's email is updated, otherwise a new one is added. If Zoho reports a missing required field on a new record, the last name is filled from the email – existing values are never overwritten. Set the target to Contacts to do the same in the Contacts module.

The Zoho CRM node creates Leads, adds notes to a Lead, Contact, Account or Deal (by record id, or a lead found by email) and searches records by email, phone, word or Zoho criteria. Your account can live in the US, EU, India, Australia, Japan, Canada or another Zoho data centre: Zoho reports it while you connect and every call goes there.

What you can automate

  • Leads into the Leads module

Scored leads go to Zoho CRM through the Sync to CRM node and are added or updated by email.

  • Conversation notes

When a lead replies or a meeting ends, a workflow adds a summary to the lead's record as a note.

  • Does the record exist?

Search records checks whether the lead is already in Zoho, and the workflow branches accordingly.

Nodes that use this integration

In the workflow editor these nodes run with your Zoho CRM account.

  • Sync to CRM / Sheet

Pushes leads to HubSpot, Google Sheets, Notion or your own system, e.g. adding qualified leads to your sales team's spreadsheet.

  • Zoho CRM

Create lead · Add note · Search records

Requirements

  • A Zoho CRM edition with API access; the daily API credits depend on the edition.
  • Read and write access to the Leads and Contacts modules for the connected user.

Requested permissions

  • ZohoCRM.modules.ALL
  • ZohoCRM.settings.fields.READ
  • ZohoCRM.org.READ

Good to know

  • Sync is one-way: changes made in Zoho aren't read back into OrqLabs.
  • Required fields specific to your organisation have to be filled through Field mapping or Extra fields; otherwise Zoho rejects the record and the error names the field.

Frequently asked questions

My account is in the EU data centre – does it work?

Yes. Zoho reports your data centre while you connect, and OrqLabs sends sign-in and API calls there (e.g. zoho.eu).

Will the same lead create duplicates?

No. The sync uses Zoho's upsert with the email field; a record with the same email is updated.

Which modules can take notes?

Leads, Contacts, Accounts and Deals. Without a record id, Leads and Contacts records are found by email.
