Gmail integration: lead e-mails from your own mailbox

Connect your Gmail or Google Workspace account with one Google sign-in. Outreach e-mails, follow-ups and campaign steps leave from your own address, and replies are read every 2 minutes and linked to the right lead.

What it does in OrqLabs

OrqLabs connects to Gmail through Google's official Gmail API – no app password, SMTP or IMAP settings. On connect it reads the mailbox address and your Gmail sender name; the Outreach Agent, the Send email node and Campaigns then use this mailbox for every e-mail to a lead. Each e-mail automatically gets the legal footer (sender details and one-click unsubscribe) plus List-Unsubscribe headers.

Follow-ups stay in the same thread as the first e-mail and appear in the same conversation in Gmail's Sent folder. With reply tracking on, new mail is read read-only (nothing is marked as read or deleted): real replies open as conversations in the Inbox and stop the follow-ups, bounces flag the address, and "please remove me" replies unsubscribe the lead. Mail that matches no lead is never stored.

Every mailbox has a daily lead e-mail limit (50 by default); e-mails over the limit are not dropped but deferred to the next day. It keeps you well below Gmail's own daily sending caps (about 500 for gmail.com, 2,000 for Workspace).

What you can automate

  • Personalised cold e-mail

The Outreach Agent researches the lead and drafts the first e-mail; once you approve it, it leaves from your Gmail mailbox under your name.

  • Follow-ups in the same thread

Leads who haven't replied get follow-ups as "Re: <first subject>" in the same thread; when the lead replies, the follow-ups stop on their own.

  • Replies in the Inbox

The lead's reply opens as a conversation, the lead becomes "Replied" and your team is notified; you get an AI reply draft and answer from the same mailbox.

  • Bounces and unsubscribes

Bounced e-mails flag the address and stop sending to that lead; "remove me" replies and one-click opt-outs skip the remaining campaign steps.

Agents that work with it

Nodes that use this integration

In the workflow editor these nodes run with your Gmail account.

  • Message received

Starts when a customer message arrives on a connected channel like WhatsApp or Telegram; e.g. so your chatbot answers automatically.

  • Send email

Sends an email to one person from your connected account (SMTP or Resend), e.g. a thank-you email to someone who filled in your form.

  • Broadcast campaign

Sends a personalised message to a group of leads at a controlled pace, e.g. announcing a webinar to qualified leads.

  • Hand off to human

Passes the chat to someone on your team, silences the bot in that chat and alerts the team, e.g. when a customer complains or asks for a person.

Setup at a glance

  1. In OrqLabs go to Integrations → Gmail → Connect and pick the project; optionally enter a daily limit.

  2. Choose the mailbox's Google account and leave both boxes ticked on the consent screen.

  3. Your address appears on the card; check the limit and reply tracking under Mailbox settings in the details.

  4. Verify the mailbox with Test connection.

  5. Select this account in the Outreach Agent or the Send email node.

Requirements

  • A Gmail or Google Workspace account; if Workspace restricts third-party apps, your admin has to trust OrqLabs.
  • On the platform side, the Gmail API enabled and a verified Google OAuth app – until verification is done, only accounts added as test users can connect.
  • For reply tracking, granting the "View your email messages" permission on the consent screen (without it the connection only sends).
  • SPF, DKIM and DMARC records on your company domain.

Requested permissions

  • openid
  • userinfo.email
  • gmail.send
  • gmail.readonly

What you enter when connecting

  • Daily lead e-mail limit
  • Track replies

Good to know

  • Gmail's read permission (gmail.readonly) is one of Google's restricted scopes: for public use the platform's Google app must pass verification and a yearly CASA security assessment. Details: Gmail guide.
  • Google's daily sending limits apply; accounts that exceed them are temporarily blocked by Google.
  • Replies are read every 2 minutes, not instantly.

Frequently asked questions

Do I need an app password or SMTP settings?

No. The Gmail integration connects through Google sign-in (OAuth) and uses the Gmail API. If you prefer SMTP, the Email (SMTP) integration is available separately.

Does OrqLabs read my e-mail?

Only for reply tracking: it reads new incoming mail read-only and stores only messages that match a lead. It never marks mail as read, moves or deletes it, and you can switch reply tracking off.

How many e-mails can I send per day?

By default OrqLabs sends up to 50 lead e-mails per mailbox per day, and you can change that limit. Google's own cap is about 500 for gmail.com and 2,000 for Workspace.

Why do I see an "app isn't verified" warning?

Gmail permissions go through Google's verification process. Until the platform's Google app is verified, only accounts added as test users can connect – contact your platform administrator.
