Outlook and Microsoft 365 integration: outreach from your own mailbox with reply tracking
Connect your Outlook.com or Microsoft 365 mailbox by signing in with Microsoft. The Outreach Agent's emails leave from your own address and show up in Sent Items; a lead's reply reaches the Inbox within minutes.

What it does in OrqLabs
The Outlook integration needs no SMTP settings or app passwords: click Connect with Microsoft and the mailbox is linked through Microsoft Graph. Every email to a lead – agent emails, follow-ups, campaign steps and replies you send from the Inbox – goes out from this mailbox, and every commercial email carries your sender details and a one-click unsubscribe link.
OrqLabs checks your inbox every 2 minutes and matches new mail to leads: first by the email being answered, otherwise by the sender's address. A matched reply opens as a conversation in the Inbox, the lead moves to Replied and scheduled follow-ups stop. Bounces flag the lead, an "unsubscribe" reply opts them out and out-of-office replies are only logged.
For personalised cold email, start with the Research → qualify → reach out template: the Outreach Agent writes a separate email for each lead and sends follow-ups in the same thread. Mail that doesn't match a lead is never stored, and OrqLabs doesn't delete or move your messages.
What you can automate
Cold email from your own address
The Outreach Agent writes a short, personal email for each lead and sends it from your Outlook mailbox; it appears in Sent Items.
Follow-ups in the same thread
Follow-ups keep the first email's subject and threading headers, so the lead sees the whole history in one thread.
Automatic reply tracking
A lead's reply opens as an Inbox conversation, the lead becomes Replied and scheduled follow-ups stop; a teammate can take over the reply.
Bounces and opt-outs
Bounced emails flag the lead and skip the next sends; an "unsubscribe" reply opts the lead out.
Agents that work with it
AI Chatbot

Nodes that use this integration
In the workflow editor these nodes run with your Outlook / Microsoft 365 account.
Message received
Starts when a customer message arrives on a connected channel like WhatsApp or Telegram; e.g. so your chatbot answers automatically.
Send email
Sends an email to one person from your connected account (SMTP or Resend), e.g. a thank-you email to someone who filled in your form.
Broadcast campaign
Sends a personalised message to a group of leads at a controlled pace, e.g. announcing a webinar to qualified leads.
Hand off to human
Passes the chat to someone on your team, silences the bot in that chat and alerts the team, e.g. when a customer complains or asks for a person.
Setup at a glance
In OrqLabs, go to Integrations → Outlook / Microsoft 365 → Connect and pick the project.
Choose your Microsoft account and approve the requested permissions (send mail and read the inbox).
Check that the card shows your mailbox address and click Test connection.
Add yourself as a lead, send a test with the Send email node and reply to it: the reply shows up in the Inbox within minutes.
Requirements
- A Microsoft 365 account with an Exchange Online mailbox, or an Outlook.com account; on-premises Exchange isn't supported.
- If user consent is turned off in your organisation, a Microsoft 365 admin has to grant admin consent to the app.
- SPF, DKIM and DMARC records on the sending domain.
Requested permissions
offline_accessUser.ReadMail.SendMail.ReadWrite
Good to know
- Microsoft allows 10,000 recipients a day and 30 emails a minute per mailbox; OrqLabs also starts at 50 lead emails a day per mailbox and defers the rest to the next day.
- Existing inbox history isn't read on the first connection – only replies that arrive afterwards. Replies moved to another folder by a rule aren't seen.
Frequently asked questions
Do I need SMTP settings or an app password?
No. You sign in with Microsoft and grant permission; the connection runs through Microsoft Graph and stays signed in with a refresh token.
Does OrqLabs read all my email?
New inbox messages are only checked to see whether they belong to a lead. Messages that don't match a lead aren't stored, and nothing is deleted, moved or marked as read.
Do sent emails show up in Outlook?
Yes. Emails are sent from your mailbox and appear in the Sent Items folder.
Can I use a personal Outlook.com account?
Yes, Outlook.com and Hotmail accounts can be connected too. For volume sending, a Microsoft 365 mailbox on your own domain is the better fit.
