Personalized cold email and outreach automation agent

Outreach Agent writes a short, personal first message to your qualified leads on the channel you choose, plans follow-ups that each add something new, and marks contacted leads as Contacted.

What the agent does

Outreach automation works through Qualified leads not contacted in the last 14 days, highest score first. Every message is built on what the lead record says: fit reason, notes, industry, website, city. Each message uses one specific observation about the lead; no empty flattery and no “I hope this finds you well”. The language follows the lead's country.

Each channel has its own rules. In cold email the subject stays under 50 characters and the body at 60–120 words, structured as why them → the concrete outcome of your offer → one low-friction call to action. WhatsApp, Telegram and SMS messages stay within 300 characters and include an easy opt-out. On WhatsApp, a first contact outside the 24-hour window requires an approved template; without a known template the agent drafts instead of sending. LinkedIn always gets drafts only (connection note up to 300, InMail up to 600 characters).

Follow-ups are planned for +3 and +7 business days at 09:30 local time, each with a new angle. When a lead's reply reaches OrqLabs, the lead becomes Replied, pending follow-ups are skipped and you are notified. With approval on (default) nothing is sent: every message and follow-up comes back as a draft with recipient, subject and personalization notes. Leads usually arrive from Lead Qualifier.

Inputs / Outputs

Inputs

Channelrequired
Email, WhatsApp, Telegram, SMS or Draft only (LinkedIn or manual sending). The channel's account must be connected to the project: SMTP or Resend for email, Twilio for SMS. Email is the safer first touch for leads who haven't opted in.
Offer / value propositionrequired
What you offer and why it matters to them, in one or two sentences; write outcomes, not features. Example: “A monthly subscription that cuts your office coffee cost by 20%; we handle setup.”
Follow-ups
How many follow-ups to send if there's no reply (default 2, after 3 and 7 business days). 0 means the first message only; pending follow-ups are skipped once the lead replies.
Approve before sending
When on (default), nothing is sent and no follow-ups are scheduled; the agent returns fully written drafts. Turn it off when approval already happens in an earlier step, as in the ready-made template.
Daily send limit
The most messages to send in a day (default 30); drafts don't count. On a new email domain, start at 20–30 a day and raise it over 2–3 weeks to protect deliverability.

Outputs

sent
Messages sent: lead, channel, recipient, subject or preview, message id and send time.
drafts
Drafts that were not sent (approval on, draft channel or no WhatsApp template): lead, channel, recipient, subject, body and a note on what was used to personalize it.
followups
Follow-ups planned per lead: channel, scheduled date and time, and the follow-up text.

Tools

The agent decides when to call these tools while it works on the task.
  • List leadslist_leads
  • Lead detailsget_lead
  • Send a messagesend_message
  • Send an emailsend_email
  • Update a leadupdate_lead
  • Schedule a follow-upschedule_followup
  • Notify the ownernotify_owner

Example tasks

  • “Write a friendly email of at most 90 words to qualified leads about our corporate coffee subscription. One call to action: a 15-minute intro call.”
  • “Open each first message with something you noticed on the lead's website. In follow-ups add new value (a customer story, a price example); never say “just a reminder”.”
  • “Only prepare LinkedIn drafts this round. For each lead write a connection note under 300 characters plus a separate first message.”
  • “On WhatsApp, use our approved `first_touch_b2b` template with these parameters: name, company, offer.”

Tips for good results

  • Write outcomes, not features, in the offer field: time, money, customers. Every message is built on that sentence.
  • Keep approval on for the first weeks and paste drafts you like into the saved agent's Additional instructions as examples.
  • Enforce your legal signature and opt-out line through Additional instructions. On messaging channels, replies such as STOP or CANCEL unsubscribe the lead and stop their pending messages.
  • For email, complete your SPF and DKIM records and start with a low daily limit; bulk sending from a new domain lands in spam.
  • Sender name and reply-to address come from the connected email integration; keep the same address so replies can be tracked.

Model advice

Default model

Claude Sonnet 5

Per 1M tokens: $2 input · $10 output

Economy model

Claude Haiku 4.5

Per 1M tokens: $1 input · $5 output

Personalization quality drives reply rates, so the default balanced model is recommended. If your messages are small variations of a short pattern, or you only want drafts you will edit yourself, the economy model may be enough. A good way to decide: run both models on the same leads with approval on and compare the drafts.

Frequently asked questions

Are cold emails sent from my own address?

Yes. The sender address of the Email (SMTP) or Resend integration connected to your project is used.

Can it send LinkedIn messages automatically?

No. LinkedIn always gets drafts only; you send connection notes and messages yourself.

What happens when a lead replies?

Once the reply reaches OrqLabs, the lead moves to Replied, pending follow-ups are skipped and you get a notification. You continue the conversation from the Inbox.

Do I need consent to send marketing messages?

Rules depend on your market: in the EU, GDPR requires a lawful basis and an easy opt-out, and Turkey requires prior consent and IYS registration for consumers. On WhatsApp, Meta requires the recipient's explicit opt-in for marketing messages.
