Email (SMTP) integration: automated email and outreach from your own domain

What it does in OrqLabs

The SMTP integration lets OrqLabs send email through your own mail server: Google Workspace, Microsoft 365, Yandex 360, Amazon SES or a server you run. The connection is per project, so each brand has its own sender address. Test connection connects and logs in to the server and shows the reason if it fails.

For cold email outreach, the typical flow is the Research → qualify → reach out template: the Lead Researcher finds prospects, the Lead Qualifier builds a shortlist, you approve it, and the Outreach Agent writes and sends a personal email to each lead and schedules follow-ups. The agent's daily send limit defaults to 30; starting with low volume on a new domain protects deliverability.

The same connection powers the Send email node (single emails with an HTML body and a reply-to address) and the Broadcast node (campaigns to a lead segment at a per-minute rate). Emails are sent with both an HTML and a plain-text version.

  • Personalised cold email

    The Outreach Agent writes a short email for each lead that opens with an observation from their website or score rationale; with approval on, every message waits on the Approvals page first.

  • Automatic follow-ups

    After the first email, the agent schedules the number of follow-ups you set (2 by default); scheduled follow-ups are logged on the lead's record.

  • Single emails from workflows

    Use the Send email node for one-off sends such as a thank-you after a form submission or a confirmation after an approved offer; recipient, subject and body accept expressions.

  • Email campaigns

    The Broadcast node or the Campaigns page sends to a segment of leads that have an email address and haven't opted out, at 20 emails per minute by default.

  • Send email

    Sends an email to one person from your connected account (SMTP or Resend), e.g. a thank-you email to someone who filled in your form.

  • Broadcast campaign

    Sends a personalised message to a group of leads at a controlled pace, e.g. announcing a webinar to qualified leads.

Setup at a glance

  1. Enable SMTP access with your mail provider; on Google Workspace, turn on 2-Step Verification and create an app password.

  2. Add SPF, DKIM and DMARC records to your domain's DNS; you can start DMARC with p=none.

  3. In OrqLabs, go to Integrations → Email (SMTP) → Connect and pick the project.

  4. Enter the SMTP host, port, username, password, From address (Brand <sales@yourbrand.com>) and TLS mode, then click Connect.

  5. Use Test connection to confirm the login works, then send yourself a test with the Send email node and check that SPF and DKIM show PASS in the message headers.

Requirements

  • A mailbox with SMTP access: server host, port (587 STARTTLS or 465 SSL/TLS), username and password.
  • An app password instead of your normal password on Google Workspace and Yandex; on Microsoft 365, an admin must enable Authenticated SMTP.
  • SPF, DKIM and DMARC records on the sending domain – without them Gmail and Outlook may send bulk mail to spam or reject it.
  • A separate subdomain or mailbox for outreach (e.g. mail.yourbrand.com) is recommended to protect your main domain.

Good to know

  • OrqLabs only sends through your SMTP account; it doesn't read incoming mail. Replies land in your mailbox and the lead isn't moved to “Replied” automatically.
  • Your sending quota depends on your mail provider, and free Gmail accounts aren't suitable for bulk sending. Sends over the quota are temporarily rejected by the provider.
  • Consent and an easy way to opt out are your responsibility. In Turkey, commercial email to consumers needs prior consent and an İYS record, and business recipients must be offered a way to refuse.

Frequently asked questions

Can I send cold email from my Gmail account?

Free Gmail accounts have low daily quotas and a high spam risk, so they're not suitable for bulk sending. Use Google Workspace, a mailbox on your own domain or Resend.

How do I keep my emails out of spam?

Set up SPF, DKIM and DMARC on your domain, use a subdomain for outreach, and on a new domain start with 20–30 emails a day, raising the volume over a few weeks.

Should I use my main domain for outreach?

A subdomain such as mail.yourbrand.com is recommended, so your main domain's reputation stays safe if something goes wrong.

What's the difference between SMTP and Resend?

SMTP uses your existing mailbox; Resend is an email API with no server to manage that can report delivery, open and bounce events. Both work with the Send email and Broadcast nodes and the Outreach Agent.

Do lead replies come back into OrqLabs?

The SMTP integration only sends; replies arrive in your mailbox. You can update a lead's status on the Leads page when they reply.
