WhatsApp automation and appointment chatbot for local businesses
WhatsApp automation for local businesses: the OrqLabs form on your website and incoming WhatsApp messages become lead records. The AI Chatbot answers price, opening-hours and booking questions from your knowledge base and passes appointment requests to your team; opted-in customers get campaigns and records are written to your Google Sheet.
The challenge
No time to answer while you work
While a salon, clinic, repair shop or studio owner is with a customer, WhatsApp messages pile up, and after-hours questions wait until morning.
The same price and availability questions
“How much is it?”, “Are you open on Saturday?”, “Any slots tomorrow?” get answered from scratch every time.
Requests scattered everywhere
Form emails, WhatsApp chats and phone notes live in different places, so no proper customer list ever forms.
Consent risk in bulk messages
Messaging everyone with a promotion is risky both legally and for your WhatsApp number's quality rating.
How OrqLabs handles it
Form submission → lead
The Form submission trigger creates a contact form hosted by OrqLabs that you embed on your site as an iframe or a link. Each submission is saved by Create / upsert lead, deduplicated by email, phone or website, and Send email can confirm receipt right away.
A chatbot for price and booking questions
Your price list, services, address and opening hours go into the knowledge base, and the AI Chatbot answers WhatsApp questions from it. Add a rule to its task such as “for booking requests, collect name, phone and preferred day and time, and never promise an exact slot”, and the bot gathers the request, creates a lead and leaves confirmation to your team.
Consent-based campaigns
Map the form's marketing consent field to the
wa_optintag in Create / upsert lead; with that tag required in the segment, the Broadcast campaign node only messages opted-in leads, using a Meta-approved Marketing template at the rate you set. People who reply “STOP” (or Turkish “DUR”, “İPTAL”) are removed automatically and skipped in future campaigns.Tidy records in Google Sheets
Sync to CRM / Sheet adds each new lead to your Google Sheet or updates it by email. The first row is used as headers; with an empty mapping it writes default columns such as name, email, phone, company, status, score, tags and source.
Example flow
Create a project for your business and connect your WhatsApp Business (Cloud API) number; add your price list, services, address and opening hours to the knowledge base.
Build the chain Form submission → Create / upsert lead → Sync to CRM / Sheet (Google Sheets) → Send email (“We got your request”) and embed the form on your site.
Save people who tick the marketing consent box with the
wa_optintag.Activate the chatbot template and put your booking rule and team working hours in its task.
Your team answers handed-off chats from the Inbox and confirms the appointment.
In a weekly scheduled workflow, the Broadcast campaign node sends a campaign with an approved template only to leads tagged
wa_optin.
Things to keep in mind
No calendar integration
OrqLabs doesn't write appointments into a calendar; the bot collects the request and your team confirms it. For reminders you can use a Meta-approved Utility template (e.g.
appointment_reminder) with the Send message node.WhatsApp number and fees
The bot runs on the WhatsApp Business Platform (Cloud API); if the number is registered in the WhatsApp or WhatsApp Business app, that account has to be deleted first. Meta charges per conversation; OrqLabs only meters AI costs.
Consent rules in Turkey
Commercial messages to consumers in Turkey require prior consent and registration in the İYS (message management system). OrqLabs isn't directly integrated with İYS; import your consented list via CSV, tag it and use it in segments.
Choosing a plan
The form flow and the chatbot are two separate active workflows; FREE allows 1 active workflow and STARTER 5. The monthly conversation limit is 200 on FREE and 3,000 on STARTER.

Frequently asked questions
Does the bot put appointments in my calendar?
No, OrqLabs has no calendar integration. The bot collects the booking request and creates a lead; your team confirms the appointment.
Can I use the number from my WhatsApp Business app?
The bot runs on Meta's Cloud API. If the number is currently registered in the WhatsApp or WhatsApp Business app, you have to delete that account first; many businesses use a separate number for the bot.
How do we add the form to our website?
The Form submission trigger generates a form URL hosted by OrqLabs; add it as an iframe using the embed code in the inspector, or as a plain link. You can change the fields (name, email, phone, message and so on) on the node.
Can I send a promotion to all my customers?
Only to customers who explicitly opted in, and with a Meta-approved Marketing template. In Turkey, commercial messages to consumers also require İYS registration.
Can I use something other than Google Sheets?
Yes. Sync to CRM / Sheet also writes to HubSpot and Notion, and a webhook can pass records to other systems.
